Long Way Round Motorhome Hire rents a motorhome to you under this Rental Agreement, which includes these terms and conditions as well as the information provided on the booking form you completed and agreed to online or on paper. By entering into this Rental Agreement, you acknowledge and agree to comply strictly with these terms and conditions. The rights and obligations outlined in these terms govern your use of our motorhome and are non-transferable. You recognise that the motorhome is owned by us, and any attempt to transfer or sublet the motorhome by anyone other than us is prohibited and considered a criminal offense. You are permitted to use the motorhome only under the terms of this Rental Agreement.
Definitions
Except where otherwise stated, the following terms have the meanings indicated in this Agreement:
- “The Motorhome” – Refers to the motorhome hired to you under this Agreement, including all tires, tools, accessories, and equipment.
- “You” – The individual or individuals signing this agreement.
- “The Agreement,” “The Rental Agreement,” and “Terms and Conditions” – This agreement and any document expressly referenced within it, including insurance documents and the motor rental agreement.
- “Security Deposit” – The sum of £1000 as detailed below, paid via Bank Transfer.
- “Booking Deposit” – A sum of 25% of the total hire cost paid at the time of booking.
- “We / Us” – Long Way Round Motorhome Hire.
Booking
To book the motorhome, you must complete the process online or send us your booking request along with a non-refundable booking deposit of 25% of the booking fee (payable by credit/debit card or BACS). Once we receive your booking and the signed terms and conditions (or confirmation of acceptance online), the contract will become effective. The remaining hire charge (total charge minus deposit) is due 8 weeks before the rental period begins and can be paid via BACS or cash. A security deposit of £1000 is payable by BACS transfer upon collection of the motorhome.
Cancellation
In the event of cancellation, the following applies:
- We offer a 7-day “cooling-off” period, during which we will refund 100% of your booking deposit.
- After this period, for cancellations made more than 7 days before the rental period starts, we will provide a credit note for the value of your booking deposit, minus a 10% administration fee. This credit note will be valid for 1 year and can be used or transferred to another person. You will receive a code to use at checkout.
- Discretion will be applied to any booking canceled due to a pandemic or unforeseen circumstances.
Security Deposit
The £1000 security deposit is refundable upon the safe return of the motorhome in the condition in which you hired it, subject to our satisfactory inspection. This deposit is required to cover potential damages (whether negligent, willful, accidental, or otherwise) or loss to the motorhome and its fixtures, fittings, and living equipment. the motorhome and all its contents must be returned in good condition, with no damage to it or any third-party property. the motorhome must also be returned with the fuel refilled to the agreed pre-hire level. Your security deposit will typically be refunded within 24 hours of returning the motorhome. If there are any damages or repairs needed, the costs will be deducted from the security deposit before the balance is returned to you.
You irrevocably authorise us to deduct any amounts due from the Security Deposit arising from this Agreement. If we do not have your card information, you agree to pay all charges upon request. In the event of a claim, we reserve the right to retain the security deposit for as long as necessary to quantify the charges incurred, which will be deducted from the deposit. If the security deposit does not cover the costs, you will be responsible for any additional amounts owed. (For further clarification on what is not covered by insurance, please see the section on loss and damage on page 8.) These charges will be invoiced accordingly, and you authorise us to deduct any sums due from your card regarding such amounts. If your security deposit is debited, we will provide you with an itemised invoice detailing the incurred charges. Your signature below permits us to deduct all charges from your card within 7 days of issuing the invoice. If we do not have your card information, you agree to pay all charges upon receipt of the invoice.
Charges
If, upon collection of your motorhome, your license is deemed unacceptable due to endorsements or damage, you will be unable to hire the motorhome, and no money will be refunded. The charges outlined on the rental invoice reflect your use of the motorhome during the rental period, including basic hire charges, insurance, and any optional services selected by you, as well as applicable taxes at the current rate. Additional charges may arise from your use of the motorhome during the rental period, which may include, but are not limited to, loss or damage to the motorhome and its contents, insurance excess, refueling service charges, late return fees, additional driver fees, pet damage fees, extra cleaning fees, and any road tolls or fines incurred during the rental period. All charges are subject to final calculation within 14 days of the end of the rental period. In certain cases, we may incur additional charges if the insured drivers have traffic convictions, use a foreign driver’s license, work in what our insurers consider a high-risk occupation, are younger than 30 or older than 75, have criminal convictions, or any physical or mental conditions that may affect driving, or have had an accident in the past 3 years. These charges will be communicated to you in advance.
Packages
When booking one of our packages, all normal terms and conditions apply. Prices are subject to change. Please note that pet charges, and collision waivers are not included in the additional upgrades associated with package deals.
Mileage
Included in your booking is a limit of 1,000 miles per trip. Any additional miles will incur a charge of 25p per mile, which will be deducted from your security deposit upon the the motorhome’s return.
Payment by Credit Card/Debit Card
When paying by credit card, you agree to the following:
a) We are irrevocably authorised to complete any necessary documentation and take appropriate actions to recover any amounts due under this Agreement from the credit card issuer.
b) You shall indemnify and keep us indemnified against any losses (including legal fees) incurred from notifying a credit card issuer of a dispute.
c) We may process the credit card voucher. If we choose to accept the Security Deposit through an open security payment (which can be canceled 5 days after the rental period ends), you agree that we can charge the credit card issuer for any outstanding amounts that are not known at the time of canceling the open security payment. Note that payments made via credit or debit card for hire charges will incur a fee of 1.69%, which you will be responsible for paying at the time of the transaction.
Insurance
Long Way Round Motorhome Hire provides comprehensive self-drive insurance for the first and any additional named drivers. This insurance applies only to our motorhome. The interior equipment and other items listed in the Long Way Round Handbook are not covered by the insurance, and any damage will incur additional costs beyond the excess.
Failure to provide necessary information may invalidate your insurance, making you liable for all losses, including claims from third parties. You must provide accurate and complete information for our insurers at least 10 days before your rental period starts. If your booking is made less than 10 days before the rental, all necessary insurance information must be provided at the time of booking to ensure the insurance company can confirm coverage for your chosen driver(s).
If you do not provide this information on time and your booking is canceled as a result, our cancellation policy applies. It is advisable to obtain personal effects and travel insurance for items not included in our insurance, as well as for last-minute cancellations.
We are not liable for any damage resulting from accidents or breakdowns caused by you, nor for any losses from the motorhome. Our insurance policy protects us and any authorised driver against legal claims from third parties or for death, personal injury, or damage to someone else’s property resulting from the use of the motorhome, provided that you report all incidents to us during the rental period or upon return of the motorhome (and that you are using the motorhome in accordance with our terms and conditions and those of our insurance company).
If a third party suffers death, injury, or property damage due to a breach of this Agreement or our insurance policy, you agree to reimburse us for any compensation we must pay to the insurers on your behalf and/or to any third party.
Drivers’ License, Health, and History
Drivers must be between 30 and 75 years of age, in good health, and hold a valid driving license. “Good health” means no mental or physical disabilities that would impair your ability to drive, such as stroke, deafness, heart conditions, diabetes, loss of limb, loss of sight in one eye, or epilepsy. Additionally, you must not be taking drugs that could affect your driving or prescribed medications for drug addiction.
You must have held a UK driving license for at least one year or a European Union license for at least two years. We will require driving license numbers and identification for all intended drivers at the time of booking. Upon collection of the motorhome, we will need to see the licenses for all named drivers, along with another form of identification (such as a passport and a recent utility bill) for each driver.
We are also required to perform a DVLA check on your license, which can be done at collection by providing your National Insurance Number. Alternatively, you can visit the DVLA website to generate a ‘check code’ if you prefer not to disclose your National Insurance Number. A maximum of three drivers per rental is permitted by our insurers.
You cannot take the motorhome without us having seen your license and ID documents. the motorhome must only be driven by you or another person who has been authorised by us, for whom you have provided the necessary insurance, driving license, and identification information. Failure to provide accurate information may invalidate the insurance and make you liable for all losses, including claims from third parties. You warrant that all information supplied to us in connection with this Agreement is true and complete. Specifically, upon collection of the motorhome, you confirm that the information provided during the original booking has not materially changed, including but not limited to the number of points on a driver’s license.
Our Obligations
We will provide the motorhome to you in good overall and operational condition, complete with all necessary documents, parts, and accessories. You agree to return the motorhome to us in the same condition as when rented, subject to normal wear and tear, along with the same documents, parts, and accessories, at the location and on the date and time specified in this Rental Agreement, or earlier if requested by us. Failure to do so may result in additional charges becoming due from you.
Condition
You and we will inspect the motorhome’s condition at the beginning and end of the rental term. You acknowledge that upon collection, the motorhome appears to be in good, clean condition and sound working order. It is your responsibility to check for any existing damage at the time of collection and to inform us of any such issues before departure.
Collection and Return
When collecting your motorhome, please allow at least an hour for us to show you around the vehicle, explain how to drive it, operate the cooker, sink, fridge, roof, camping gas, water storage, and other accessories, and brief you on our health and safety guidelines. We will also need time to complete the necessary paperwork.
Collections are scheduled for 1.30 PM, and returns must be made by 10.30 AM on the agreed last day. Please ensure the motorhome is returned on time, allowing sufficient time to return to us without rushing.
No motorhome can be collected outside of our regular business hours without prior arrangement. If you return the motorhome outside of these hours, you must follow the out-of-hours return instructions, during which time you will remain fully responsible for the motorhome until the return location reopens. If you do not comply with these instructions, you will still be responsible for the motorhome until we can access it.
If we have agreed that you may return the motorhome to a location other than our designated location, or if we have arranged to collect it, you will remain fully responsible for the motorhome until it is collected by us or the RAC. You will also be responsible for any costs incurred in returning the motorhome to our location should you abandon it.
We will not refund the hire charge if the motorhome is returned before the scheduled return date for any reason, including weather, personal circumstances, or otherwise.
Late Return
If you return a motorhome later than the agreed time without our prior consent, a charge of £50 per hour will apply. This delay will also impact the subsequent rental for the next customer. If the late return incurs additional costs for us, we reserve the right to pass those costs on to you. Any charges related to the late return will be deducted from your security deposit. By signing this Agreement, you consent to these deductions. If the late return is due to an accident, you will be responsible for any revenue lost while the motorhome is unavailable for hire. No refunds will be provided for early returns.
Tracking and Electronic Devices
To ensure the vehicle’s safety and monitor its condition and performance, we may use electronic devices for tracking and monitoring purposes during and after the rental period. By entering into this agreement, you confirm that you have the authority from any drivers or users of the vehicle to allow the use of such devices. You agree to indemnify us against any claims arising from our use of these devices, including any allegations of data protection breaches.
Cleaning
You agree that if the motorhome requires more than our standard cleaning upon its return to restore it to its pre-rental condition, an additional charge may apply.
Occupying the Motorhome
You must inform us in writing, at least 7 days before the rental period starts, of the names and ages of all individuals who will occupy the motorhome. Failure to provide this information may breach these Terms and Conditions and could invalidate your insurance.
Engine Care
You will be responsible for any costs related to damage or breakdown caused by your actions, such as overworking the engine or using the wrong fuel. You must take reasonable steps to maintain the camper, including regular checks of batteries, engine oil, coolant levels, bulbs, and tyre pressures, especially after driving more than 500 km.
Tyres
You are responsible for ensuring the tyres are in good condition and meet legal requirements. Any damage to or repairs needed for the tyres are your responsibility unless the damage is due to hidden manufacturing defects covered by warranty. In such cases, you must return the defective tyre for inspection, provide appropriate receipts, and accept the manufacturer’s decision regarding reimbursement.
Health and Safety
You must adhere to health and safety guidelines when operating the motorhome and using its appliances. Instructions for using the motorhome and its equipment, including health and safety guidelines, will be provided verbally upon collection and can also be found in the motorhome handbook.
Seat Belts, Booster, and Baby Seats
You must only carry as many passengers as there are seat belts in the motorhome. Passengers in buddy seats do so at their own risk. You are legally responsible for obtaining and using appropriate child or baby seats for children under 135 cm (approximately 4’5”) or under 12 years old. If we supply any child or baby seats, you are solely responsible for their correct fitting, and we accept no liability for any defects or improper installation.
Dos and Don’ts
You agree not to:
- Carry more passengers than the motorhome’s seat belt capacity.
- Use the motorhome for carrying passengers or goods for hire.
- Tow or push any vehicle, trailer, or object.
- Drive off-road or on unsuitable surfaces.
- Overload the motorhome or fail to secure loads properly.
- Use the motorhome for illegal activities or carry illegal items.
- Submerge the motorhome in water or expose it to saltwater.
- Participate in races, rallies, or contests.
- Drive or park in violation of traffic regulations.
- Drive in restricted areas such as airport runways.
- Engage in driving training or use a rotary car wash.
Fuel
At the time of collection, we will confirm the fuel level with you. the motorhome must be returned with the same fuel level at the end of the rental period. If the motorhome is returned with less fuel, an administrative fee of £25, plus the cost of the missing fuel, will be deducted from your security deposit.
Camping Gas/Batteries
Camping gas is provided for the cooker, and we also offer an electric hook-up option. We will cover the cost of one additional gas cylinder upon presentation of a valid VAT receipt. Please note, we will not reimburse for incorrect sizes or types of gas cylinders, and you will incur a £70 charge for replacing an incorrectly sized or specified gas cylinder.
Smoking
Smoking is prohibited inside our motorhome. You will be responsible for any damage caused by smoking in the motorhome, tent, or their contents.
Drinking Water
We cannot guarantee the cleanliness of drinking water obtained from various campsites. The water stored in the motorhome is not suitable for drinking; we recommend consuming bottled water.
Pets
Pets are welcome for a fee of £50 per pet for each booking, which covers additional cleaning. Pets must be declared on our Booking Form, and only approved pets may be brought into the motorhome. You will be liable for any damage caused by your pets. You must comply with current laws regarding the transportation of animals and pets should never be left unattended in the motorhome.
Keys
If you lose or damage the keys, you will be responsible for the reasonable costs of obtaining replacements and any related expenses during your rental period. You must ensure the motorhome is locked at all times when not in use.
Your Car
You may park your car at our premises during the rental period at your own risk. We are not responsible for any loss or damage to your car or its contents unless caused by us.
Prohibited Use of the motorhome
You are authorised to drive the motorhome only under the terms of this Agreement, and you must use the motorhome responsibly at all times. Failure to comply with these conditions may result in liability for any losses or expenses we incur as a result. You may also lose any waivers or insurance benefits selected by you. We reserve the right to reclaim the motorhome at your expense if you breach this Agreement. You must take care of the vehicle, ensuring it is locked and parked safely when not in use. Compliance with seat belt laws and child safety seat requirements is mandatory.
Loss or Damage
You are liable for all losses and costs incurred due to damage, loss, or theft of the vehicle or its accessories during the rental period if it results from deception by you or another party, or if caused by your negligence. Your liability may include repair costs, loss of vehicle value, lost rental income, towing and storage fees, and an administration charge to cover our claim handling costs unless we are responsible for the damage or a third party is determined liable. You will not be liable for charges directly resulting from our negligence or breach of this Agreement. You will be responsible for any loss or damage to in-car entertainment equipment, as this is not covered by our insurance.
Breakdown
If you encounter any issues, please report them to us immediately. We provide recovery and repair services. For minor repairs (up to £50), we will reimburse you if you present a valid VAT receipt, provided you were not solely responsible for the damage. Repairs exceeding £50 must be pre-approved by us. A replacement motorhome may be offered, subject to availability. If a replacement is unavailable, we will cover your reasonable costs arising from the incident, except if caused by your negligence. We will either replace the motorhome with a similar one or refund your hire charge for days lost due to the breakdown. If you caused the breakdown, you will be responsible for all incurred costs, and no refunds for unused rental days will be provided. You must remain a safe distance from the motorhome until the Recovery Vehicle arrives and cannot abandon the vehicle at the roadside. Keys must be handed over to the authorised Recovery Vehicle Driver. If you abandon the vehicle, we will deduct any transport and labor costs for returning the motorhome to our location, as well as any costs from loss or damage while the motorhome is unattended, from your security deposit.
Accidents, Theft, and Vandalism
In the event of a traffic accident involving the motorhome, please report it to the police and us immediately. Any loss, damage, or theft must also be reported within 24 hours. Our insurance requires you not to admit liability, settle any claims, or release any party from liability following an accident. If possible, gather names and addresses of everyone involved, including witnesses, and document the scene with photos. Do not move the vehicles until the police arrive unless it’s safe to do so. An accident or theft report form must be completed and submitted to us when you return the motorhome or within three days, including all relevant information and diagrams if possible. In cases of theft, please return the keys to us when possible. You agree to cooperate with us and our insurers in any investigation or legal proceedings related to any loss or damage to the vehicle.
Return of Items Left in the Motorhome
We are happy to return any belongings left in the motorhome, subject to a postage fee for each item. This charge will be deducted from your security deposit or invoiced as necessary.
Your Liabilities
You are personally responsible for all road tolls, fines, and legal penalties (such as parking tickets or speeding fines) incurred during your rental period. Any charges subsequently notified to us will be communicated to you for payment within the specified terms. By signing (or confirming online) this Agreement, you acknowledge this. You are also liable for any losses or damages caused by you or your group; we cannot accept responsibility for losses or damages you cause to yourself, others, or their property.
You are responsible for any damage above the vehicle’s height. It is your duty to assess the height of the motorhome and avoid striking overhead or overhanging objects. You agree to indemnify us against any liability arising from damage to such objects and any subsequent damage to third parties and their property. You are also accountable for any damage to third parties and their property resulting from your negligence, including but not limited to damage caused by loaded luggage and bicycles. Please use the motorhome and its contents responsibly, adhering to our instructions and health and safety guidelines. If no specific guidelines are provided, you should follow general common-sense rules.
Breaches of Terms and Conditions
If you breach these Terms and Conditions or our health and safety guidelines, we reserve the right to terminate your booking without notice. If you are already using the motorhome, you may be required to return it immediately. In such cases, no fees paid will be refundable, and you will also be liable for any costs incurred in returning the motorhome to our premises. Violations of our Terms & Conditions or health and safety guidelines may invalidate your insurance, making you liable for all losses, including claims by third parties.
Our Liability to You
We are only liable for any loss or damage suffered by you or any member of your party, or to your or their property, when such loss or damage is due to our negligence. If you are a business customer, this clause applies instead of the previous one. You must have our permission and that of our insurance company to use the motorhome for business purposes. We do not accept liability for business customers for any loss of profits, contracts, goodwill, anticipated savings, expenses, or similar losses for any reason. To the extent permitted by law, and except in cases of personal injury or death resulting from our negligence, the maximum liability to business customers shall be the amount you agreed to pay for the right to use motorhome for the agreed period.
Whole Agreement
These Terms and Conditions supersede all previous versions and any prior dealings between the parties, incorporating the entire Agreement along with any insurance conditions communicated to you at the time of hire or collection. In the case of any inconsistency between these Terms and Conditions and any other literature from us, whether in brochures or on our website, these Terms and Conditions will take precedence. If any provision of these Terms and Conditions is deemed unlawful, void, or unenforceable by a court, that provision will be severed from the Agreement without affecting the validity of the remaining provisions.
Personal Data
When you book your motorhome, we collect personal information including your name, email address, home address, phone number, credit or debit card details, security code, and card expiration date. This allows us to process your booking and arrange insurance for you. We may also collect non-transactional data if you enter a competition, request a brochure, or participate in a survey. We may use this information to occasionally notify you about news and updates that we think you might find valuable, such as our latest brochures, newsletters, and special offers. If you prefer not to receive such information, please contact us via phone, email, or post. We will share your identity information with our insurance company but will not sell your information to any other company.
Governing Law and Jurisdiction
We both agree that this Agreement and any disputes or claims arising from it shall be governed by and interpreted in accordance with the laws of England and Wales. We both irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction over any disputes or claims related to this Agreement.
General Safety
Please take all necessary precautions to protect your health and safety, as well as that of anyone else in the motorhome or tent, including individuals not in your party who may be affected by your actions. Do not leave children unattended in the motorhome or tent at any time. Ensure that a responsible adult is present in the vehicle when using any appliances, and keep at least one window, roof vent, or door partially open while gas appliances are in use. Familiarise yourself with the location of safety equipment, such as the fire extinguisher, warning triangle, first aid kit (located under or behind the passenger seat), and carbon monoxide alarms on the ceiling.
Fire, Accidents, Breakdown, etc.
Refer to the motorhome handbook provided in motorhome, and you will also receive verbal instructions when you collect the vehicle. It is essential that you and your party understand these instructions.
Use of Appliances and Equipment
Make sure to read the instructions for using the motorhome’s appliances and facilities before operating them. You will be informed about their use upon collection. Instructions can also be found in the handbook. Exercise caution at all times. Turn off the gas at the cylinder when the cooker and heater are not in use. Before going to bed or driving, ensure all appliances are off and the gas is shut off at the cylinder. To turn off the gas, turn the valve clockwise; turning it counterclockwise will turn the gas on. Only use appliances and facilities while parked on level ground with the handbrake applied. You may operate the fridge while driving if it is solely powered by the battery and not using gas or mains hookup. Never operate the cooker with gas while driving. Always disconnect the electrical supply before starting to drive.
Stowage of the Tabletop
Always ensure the tabletop is securely stowed and held in place to prevent it from moving unexpectedly.
Use of a Disposable BBQ
Do not use any disposable BBQs in the motorhome or awning, and maintain a distance of at least 3 meters from the awning and motorhome during use. Seek permission before using a disposable BBQ on private land, whether at a campsite or a farm.
Towing
While your motorhome may have a tow bar, towing with the motorhome is strictly prohibited.
